Dispatch

Statement of method: a strategy document is not finished when it reads well — it is finished when it has a master copy, a named custodian on your side, and a procedure for the next amendment. Dispatch describes how work leaves Tyrwhitt Road and stays authoritative afterwards.

  1. 01 Draft circulation — working copies carry a grey folio stripe and the word DRAFT in the header. They may be forwarded internally for comment but must not be cited externally. Revisions accumulate in a single tracked document; parallel forks are merged or discarded explicitly.
  2. 02 Master designation — when you sign acceptance, we issue a MASTER copy: folio number, date, and signature block. The PDF is locked for layout; editable source files travel in a separate folder clearly labelled SOURCE — not master until you promote them internally.
  3. 03 Custodian assignment — every handover names one person on your team as custodian. That person holds the amendment log, approves agency requests for logo files, and escalates hierarchy changes to leadership. Without a named custodian we pause dispatch.
  4. 04 Handover packet — delivered by encrypted link and, on request, printed copy on Tyrwhitt Road. Contents: master PDFs, source files, custodian checklist, amendment log template, and a one-page “read this first” index. No surprise attachments later.
  5. 05 Amendment procedure — changes require a log entry: date, author, section affected, reason, approver. Minor typographical fixes may be logged in batch quarterly; hierarchy or positioning changes require a new master version and optional studio review under standing advisory.
  6. 06 Studio archive policy — we retain project materials for twenty-four months in a read-only archive, then delete unless you contract extended storage. Our archive is not your master — after handover, your custodian’s copy is authoritative.

Review cycles

During active engagements, reviews happen on a fixed weekly rhythm: Monday intake of your comments, Wednesday revised draft where needed, Friday status note even if no changes were required. We do not leave you guessing whether silence means agreement or neglect.

After handover, review shifts to the cadence of your standing advisory column if contracted — otherwise you initiate review by email with materials attached. We respond with annotated copies or a short memo within five business days.

Version numbering

Masters use folio-style numbers: Positioning Framework v2.1 means second major revision, first minor correction. Major revisions reset dependent documents — a new positioning framework triggers a voice manual compatibility check noted in the amendment log. We never silently overwrite a file at the same version number.

Who holds the brand system

After dispatch, MarkVault Drift holds no exclusive licence to your materials. You may share masters with agencies, subsidiaries and legal counsel without our permission. We ask only that public case descriptions remain anonymised unless you authorise otherwise. If you lose your master copy within our archive window, we will re-send once without additional charge.

When dispatch pauses

Dispatch stops if a custodian is not named, if two departments issue conflicting approval emails, or if a draft marked MASTER appears in the wild before we release it. These pauses protect you from premature citation, not from inconvenience. We resume the moment a single approver and custodian are confirmed in writing — usually within one business day once your internal thread settles.

Printed handover packets include a spine label with folio number and date so they sit correctly on your shelf beside earlier masters. Digital delivery uses a single encrypted link with a checksum list — you verify file integrity before promoting any document to master status internally. We do not use consumer file-sharing services without your written approval.
